Special meeting to discuss the June 28, 2020 Show with COVID-19 considerations

Minutes of the May 21, 2020 Executive Board Meeting of the Tehachapi Mountain Chapter, CDS and of the Bear Valley Springs Dressage Club

Call to order: Chemaine Hurtado, President Time: 1:12 pm

In attendance: Tracy Donahue, Chemaine Hurtado, Morgan Hurtado, Janice Polletta, Kathe Rich, Karen Sweaney, Mary Thompson

Approval of the minutes: NA Second: NA

AGENDA:
1. Pre-show

a. COVID-19 section will be added to our website
b. COVID-19 addendum will be added to the premium
c. Premiums will be submitted by mail. Janice and Morgan will review
d. Competitors will be encouraged to “show and go”. (Encouraged but not required)
e. Show entries will be kept for contact tracing if required

2. General safety measures required:
a. (Please clarify) Temperature checks and questionnaire mandatory for all volunteers and attendees
b. Cancellations will be granted on a case-by-case basis
i. Fees can be applied to a future show
c. Emergency contact info will be required of all volunteers
d. Alcohol gel bottle will be given to each competitor at sign-in
e. (Please clarify) Only those working at the judge’s booth & performing administrative duties in the lounge will be granted entry to those areas
f. Masks
i. Mandatory except while riding
ii. Washable type
iii. May be worn while riding if rider wishes
iv. Rules will be posted on website
g. Handwashing station will be placed near the arena
h. Bathrooms will be cleaned (sanitized) before, during, and after the show
i. Butch provides paper towels
i. Snacks and lunches: Prepackaged versus bring-your-own?

3. COVID Instructions (signage) must be posted at Equestrian Center
a. A STOP sign will be posted to notify all attendees of COVID-19 considerations
b. Signage will be posted on all buildings with instructions re: entry
c. CLOSED sign will be posted on stands to prevent sitting

4. Judge & scoring considerations
a. June judge has not cancelled
b. Janice has researched safety measures
i. Plexiglass between judge and scribe (most workable)
ii. Remote scribing (more complicated with increased chances for scoring errors)
c. Completed test will be placed in a bucket beside the scoring booth door to minimize contact
d. Additional considerations will be evaluated closer to the show date

5. Score board
a. Post signage to reinforce physical distancing (‘One person at a time”)
b. Competitors will place used numbers in a bucket near the scoreboard

6. Stabling, campgrounds, and next-day clinic
a. TBD based on Kern County and BVS COVID-19 guidance

7. Adjournment: 2:20 pm
